When you move document text into an email, a chat, an application form or an AI chatbot, fonts and colors come along, sentences break in the middle, or tables paste as a mess. Here is how to move text cleanly in each situation.
Problem 1. Formatting comes along when you paste
When you copy from Word or Hangul, the clipboard holds the font, size and color along with the text.
Fix: paste without formatting
- Most programs on Windows: Ctrl + Shift + V
- macOS: Cmd + Shift + Option + V or Cmd + Shift + V (varies by program)
- Word: choose Keep Text Only in the paste options
- If the shortcut does not work, the classic trick of pasting into Notepad first and copying again always works.
Problem 2. Text copied from a PDF breaks on every line
PDFs place text line by line, so copied text breaks wherever the line ended on screen, even in the middle of a sentence.
How to fix it
- Take all the text with Copy all text in the PDF Viewer.
- Keep empty lines only between paragraphs and remove the line breaks inside sentences.
- In Word, the special characters in Find and Replace (^p) let you clean up line breaks in one go.
Problem 3. HWP tables paste strangely
When you paste a Hangul table into another program, cells can get mixed up or paste as an image.
- You need the table: paste the table from Hangul into Excel, which keeps the cell structure fairly well.
- You need only the content: the HWP text extractor outputs the text of table cells line by line, which is easy to clean up.
Problem 4. The pasted text exceeds the character limit
If an application form says your text is longer than expected, invisible characters may be the cause:
- Spaces at the end of lines, tab characters and repeated empty lines
- Auto-converted curly quotes and ellipses
- Hidden formatting characters from word processors
Paste the text into the character counter and compare the with-spaces and without-spaces counts to see how much extra whitespace there is.
Problem 5. Putting documents into an AI chatbot
It has become common to paste long reports into AI chatbots for summaries or translations. Keep two things in mind:
- Remove personal data: hide ID numbers, phone numbers and emails first with the privacy masking tool.
- Remove what is not needed: delete headers, footers, page numbers and the table of contents so the AI focuses on the body.
